2. Form an Event Planning Team

It takes a lot of time and energy to plan a successful event.
Recruit enthusiastic, dedicated volunteers with a variety of skills to share the tasks and help you organize your event. When selling tickets to a fundraiser remember this rule of thumb; you need one volunteer for every 10 tickets you have to sell!

3. Successful planning teams have:

A leader who can inspire and engage people with their vision
A banker who can keep track of the money
An organizer who can keep track of the details
A promoter who can recruit sponsors and volunteers

4. Plan Your Event - the 5 W's

Work with your Event Planning Team to figure out the Who, What, When, Why and Where for your event. You want this event to be fun to plan and organize as well as to attend. Who will support and attend your event? Identifying your target audience is important for promotion and sales. When and where will your event take place?
Remember to schedule your event for a time of day and in a location convenient for those who will be attending. We recommend having crisis workers on-site for additional audience support in the event that it is needed as well as a location that is
wheel chair accessible. Sign language interpreters are also encouraged for attendees who are hearing impaired. Consider contacting your local college or university for volunteers specializing in these areas.

6. Promotion and Publicity

Publicity and promotion are essential for a successful event. Eye-catching Flyers and other media materials will help make your event a success. Download photos here. Download an event poster.

7. Sponsorship

One of the best ways to raise funds for your event is to acquire sponsorship from local vendors in your area. An easy way to get sponsors involved is to offer advertising of their logo on the event posters being circulated in the area, in exchange for monetary donations or gifts-in-kind for raffle or prizes. You may also
want to offer vendor tables for the sponsors on-site so that they can sell their products at the event and gain community support. A separate poster is available on this site should you choose to take advantage of sponsors in your fund raising efforts.

8. Contact the Media!

As part of your host organization package, you have media information that can be filled out and distributed to your to local radio, television and print media. Take advantage of this information and use it to gain greater community involvement.

Contact your local radio stations by telephone or in person and let them know about your event. Use the press release available in the host organization section of this site to ensure that they have complete details the week and day before your event.

Call to follow-up and ensure that someone from their team will be coming to the event and have someone from your team available to answer any questions they may have at the event.

9. What If I have additional questions or concerns?

Feel free to contact your booking professional with any additional questions or concerns surrounding your event. We are here to help ensure that your event is a successful one!
